Responsibilities

SUMMARY. The Payroll Specialist is responsible for monitoring all tasks necessary to accomplish the organization’s payroll processing This position requires an extremely detail orientated person with  knowledge of human resources, and payroll administration  including state and federal regulations.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Administers all tasks necessary to accomplish the organization’s payroll and timekeeping process.  Analyzes, prepares and inputs payroll data using an automated system to produce accurate and timely payroll. Ensures and maintains compliance with all applicable state and federal wage and hour laws.
  • Creates and provides reporting related to payroll, compensation, time and attendance, and other Employee Experience focuses, including custom report creation, report scheduling that will help drive better organizational decisions. Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions,, etc.) for management as requested.  Helps maintain data integrity in systems by running queries and analyzing data.
  • Prepares and maintains accurate records and reports of payroll transactions. Assists with any company or department audits by submitting accurate records and documentation as requested.
  • In collaboration with the Employee Engagement Department, assists with employee records in accordance with the state and federal retention schedule and ensures payroll records are created, archived and/or destroyed in accordance with the schedule. Ensures records synchronizes with the appropriate system using the most efficient method.
  • Reviews wages computed and corrects errors to ensure accuracy of payroll.  Records changes affecting net wages for each employee to update master payroll records.  Performs various journal entries, provides account reconciliations, and general ledger support as needed.  
  • Works with ADP to resolve federal, state, and local tax related issues, sets up new state and/or local tax accounts in a timely fashion as needed.
  • Processes wage garnishments accurately and according to court order requirements while meeting the timeline of the order.
  • Performs compensation system administration including employee changes, and assists with reporting as needed.
  • Assists with preparing and collection of compensation survey data on an annual basis or as needed.
  • Reconciles and submits payroll and compensation related invoices for payment. Maintains documentation, and prepares and distributes correspondence related to payroll and compensation to ensure compliance with regulatory agencies, auditors, federal, state and local laws.
  • Prepares annual Total Rewards Statements.
  • Identifies and understands issues, problems and opportunities. Brings new and innovative ideas to improve efficiencies and processes.
  • Performs system maintenance, including assisting in the review, testing and implementation of Payroll and HRMS upgrades or system changes. Maintains HRMS system configuration tables. Documents process and results.
  • Provides support to Employee Experience team members and management, including researching and resolving Payroll and HRMS problems, unexpected results or process improvements.
  • Participates in training including new employee orientation, developing user procedures, guidelines and documentation for any new system changes. Participates in training employees on new or changes to systems processes/functionality.
  • Maintain and update self-service features in HRMS to include but not limited to onboarding, , terminations, pay changes, etc.
  • Serves as back up to the Benefits Coordinator.  Assist with benefits administration as needed including annual biometric screening events.
  • Maintains current knowledge of applicable state and federal wage and hour laws.
  • Work with Employee Engagement team as needed. Participate in group meetings as well as one on one meetings to offer opinions and scenarios  and bring new and innovative ideas to improve efficiencies and processes.
  • Actively participates in company social events to help demonstrate a positive company culture.

The salary range for this position is $23.70-$29.62/hr. and is based on relevant experience.

Qualifications

EDUCATION and/or EXPERIENCE

High School Diploma) and a minimum of two years of HR and payroll processing experience, preferably ADP Workforce Now.
